Privacy policy

How we handle what you give us. In force from 22 September 2026.

Admiral Rewards is operated by Admiral Racing Pty Ltd
Everywhere else on this site you are dealing with Admiral Rewards. On this page it matters which company that is: Admiral Rewards Pty Ltd is in formation and cannot yet hold information or enter into anything, so Admiral Racing Pty Ltd the parent company of Admiral Rewards — runs the site, holds what you give it, and answers for it. When the new company takes over we will say so here before it happens, not afterwards.
What this policy covers today
Right now the site does one thing: it takes pre-registrations and club enquiries. That is all this policy has to describe. Memberships, cards, gate scans and draws are not open, and we will publish how that information is handled before any of it is collected — not in the same breath as asking for it.

Who is collecting this

Admiral Rewards is the product. Admiral Racing Pty Ltd, the parent company of Admiral Rewards, is the company behind it, and is the entity that collects and holds what you submit through this site. It is the entity to contact, and the one to complain about.

What we collect, and why

When you pre-register, we collect what the form asks for and nothing else. There is no hidden field.

WhatWhy we ask
First nameTo address you by name when we write.
Last nameoptionalOptional. It helps us tell two registrations apart.
Email addressThe only way we have of telling you when the membership opens. It is also the key we use to avoid registering you twice.
Suburb or townCountry racing is a map, not a list. Knowing the towns people are in is how we decide which clubs to approach first, and it is the difference between a useful answer and a state-shaped guess.
StateTo tell you honestly if nothing is planned near you.
Contact numberoptionalOptional, and we would rather email. It is here so we can ring you back if you have asked us something that needs a conversation — which is usually a club or a business rather than a racegoer.
Whether you are a racegoer, a club or a businessClubs and businesses are a conversation, not a mailing list. This routes you to the right one.
Club or business nameoptionalAsked only if you say you are with a club or a business, so we know who we are talking to.
Anything you want to tell usoptionalA free-text box. Whatever you put in it is stored as you wrote it, so please leave out anything sensitive.
The date and time you registeredRecorded automatically. Together with the consent box you ticked, it is the record of when you agreed to be emailed.

Giving us any of it is voluntary. The consequence of not giving us your email address is simply that we cannot tell you when the membership opens, which is the entire point of the form.

We do not ask for and do not want sensitive information — health, race, religion, political views, criminal record, sexuality, or anything about your betting. Please keep it out of the free-text box.

If you write to us through the club enquiry form, we keep your name, role, contact details, the club or business you are with, and what you told us, so we can have the conversation you started.

Information collected without you typing it

The site sets no cookies, runs no analytics, and carries no advertising or tracking pixels. We have not installed anything that follows you.

Two things still happen that you should know about, because they are true of how the site is built rather than anything you chose:

  • Google Fonts. Serves the site's two typefaces. Loading them sends your IP address and browser details to Google. That request leaves Australia.
  • Server logs. Our host records the ordinary details of a web request, including your IP address, so the site can be run and abuse can be spotted. We do not use those logs to build a profile of you.

One more, because it would be a surprise otherwise: if our database is unreachable at the moment you submit the form, your registration details are written to our server log so the submission is not simply lost. That log is held by our host and is not a mailing list. It happens only on failure, and we would rather tell you it can happen than have it be discovered.

Email: what you agreed to, and how to stop it

Ticking the consent box on the pre-registration form is your consent to be emailed about Admiral Rewards. We record the date and time you gave it, and the form will not submit without it. Under the Spam Act that consent has to be real, our messages have to identify us, and there has to be a working way out. All three:

  • What we will send. Word that the membership has opened, and news about the club network as it is built. That is the list you joined. We will not use your address to sell you something unrelated, and we will not send you wagering promotions.
  • Who it is from. Every message come from Admiral Rewards, name Admiral Racing Pty Ltd as the company sending it, and give a way to reach us — in the message itself.
  • How to stop. Every message will carry an unsubscribe link, and it will keep working for at least 30 days after it is sent. You do not have to wait for one: you can remove yourself now. It takes effect immediately, and it deletes your record rather than moving it to another list.

We have not sent anything yet. If you ever receive an email from us that you cannot unsubscribe from, that is a fault on our side — tell us and we will fix it and remove you by hand.

Who sees it

Inside Admiral, the people working on the membership and on signing clubs. Outside Admiral, only the suppliers that run the site for us:

Vercel Inc.

Hosts the website and runs the form. Its request logs record IP addresses.

Stored in: United States, served from a global edge network

Supabase Inc.

Stores the registration list in a Postgres database.

Stored in: Sydney, Australia (AWS ap-southeast-2)

They hold the information so that we can run the site. They are not allowed to use it for their own purposes, and we have no other arrangement with them.

Four things we commit to, in plain terms:

  • We do not sell your information. Not to anyone, at any price, ever. There is no arrangement under which it could happen.
  • We do not give it to wagering operators. No bookmaker, betting agency, tote or affiliate receives your details from us. Admiral Rewards is a membership, and we intend to keep the line between it and betting absolute.
  • Partner clubs do not receive your details from the pre-registration list. When the membership opens, clubs will be paid on counts of members who scanned in — numbers, not names.
  • Merchants receive nothing. A member discount works by showing a card, not by handing over a customer list.

The exceptions, and they are the ordinary ones: where the law requires it, where it is needed to deal with a serious threat to someone’s safety, and where a professional adviser — a lawyer or an accountant — needs it to advise us and is bound to keep it confidential. If Admiral is ever sold or merged, the registration list could pass to the buyer; if that happens we will tell you before it does, and this policy will bind them until you are told otherwise.

Where it is stored

The database holding your registration runs in Sydney. We moved it there deliberately — the first one we set up was in Tokyo, which is the default nobody notices, and we would rather your details sat in the country you gave them in.

That is not the whole story, though, and we will not round it up into “your data never leaves Australia”. The companies operating the database and the website are United States companies and can reach their own systems from there, and the site itself is served from a global network. So information you give us is still disclosed to recipients overseas, and once it is with them Australian privacy law may not reach them. By using the form you accept that.

How it is protected

The site is served over HTTPS. The database is not publicly reachable and its credentials are held as deployment secrets, not in the code. Access to the registration list is behind a separate token held by the few people who need it.

What we will not tell you is that it cannot be breached. No-one can honestly say that. If something happens to your information that is likely to cause you serious harm, we will tell you and the OAIC about it, promptly and in plain words.

How long we keep it

Your pre-registration is kept until the membership opens and you have had a fair chance to take it up, or until you ask us to delete it — whichever comes first. If the project does not proceed, we will delete the list rather than keep it warm for something else.

Unsubscribing deletes your record straight away. We do not keep a suppression list of people who have left, because that would be a record of exactly the people who asked us not to hold one.

Club and business enquiries are kept as business correspondence for as long as the conversation is live and for seven years afterwards, which is what our tax and corporate record-keeping obligations require.

Seeing it, fixing it, deleting it

You can ask us, at any time, to:

  • tell you what we hold about you, and give you a copy;
  • correct anything that is wrong, out of date or incomplete;
  • delete it entirely.

There is no charge for asking and no form to fill in. Use the contact details above, or the unsubscribe page if deletion is all you want. We will answer within 30 days. If we ever refuse a request — and on a list like this it is hard to imagine why we would — we will tell you the reason in writing and how to challenge it.

We may ask you to confirm you are who you say you are before we hand over a copy, because the alternative is handing your information to whoever asks for it.

If we get it wrong

Tell us first, using the contact details above. We will acknowledge it and give you a decision within 30 days.

If you are not satisfied with how we handled it, you can take it to the Office of the Australian Information Commissioner (OAIC) on 1300 363 992 or at oaic.gov.au. You do not need our permission to do that.

Why this policy exists at all

The Privacy Act generally exempts businesses turning over less than $3,000,000 a year, and today we are one of them. We have chosen to hold ourselves to the Australian Privacy Principles anyway, and this policy is written as though the Act applies to us.

That is not a technicality. Everything promised on this page is a representation about our own conduct, and a business that breaks one of those can be pursued under the Australian Consumer Law whether or not the Privacy Act covers it. We would rather write down what we actually do and be held to it.

Children

This site is for adults and is not directed at children. If you are under 16, please do not register. If you believe a child has registered, tell us and we will delete the record.

Changes to this policy

This version took effect on 22 September 2026. If we change it in a way that affects what we do with information we already hold, we will email the people on the list rather than quietly reposting the page. Older versions are available on request.
